Contractors who paid for shared enquiries learned one thing: you have to be the first caller. One counted 39 paid enquiries and 3 real people, each already contacted by seven firms. The requests that reach your own site and your own WhatsApp are yours alone, and most sit in an inbox for hours. This package automates one process end to end: the request is created from the form or the message, lands in your CRM with its source, gets a WhatsApp acknowledgement within a minute, a call is placed or assigned, and the callback is booked with a retry if nobody answers. Every step is an event you can read. Fixed scope, one process, two to four weeks.

Who this is for

  • A contractor whose enquiries wait in an inbox until someone remembers to call
  • A distributor with RFQs arriving on a form, an email and three WhatsApp numbers, and no single list
  • A firm that bought shared enquiries, stopped, and wants its own requests answered faster than the marketplace ever did
  • An operations manager who wants to see, on one console, which request was called and which was not

What is in the package

  • A written map of the process. How a request travels today, from the first message to the quotation, with the steps where it stalls.
  • Request to CRM with its source. A form, email or WhatsApp request created in your CRM with the page, product, channel and language it came from.
  • Acknowledgement, call and callback. A WhatsApp reply within a minute, the call placed or assigned to the engineer on duty, the callback booked with a retry count.
  • Every step logged and retried. Each step an event with its time; failures retried and shown, never silently dropped.
  • A console your team can watch. Which requests were called, which are waiting, which were quoted, on one screen.
  • Maintenance by the same team. Under the maintenance plan; multi-system work, for example CRM plus accounting plus a portal, is scoped at $8,000 to 20,000.

Modules

Digital Process Automation & Workflow Optimization

Analyze, digitize, and automate repetitive business processes to increase operational efficiency. This includes CRM setup, sales pipeline automation, and internal workflows using low-code/no-code platforms or custom tools.

Lead to CRM to Call to Callback

A form or an ad creates the lead, the CRM gets it with its source, a WhatsApp follow-up goes out, a call is placed, the callback is booked. Every step an event.

Quote and Invoice Extraction

Documents read into structured data and fed to your accounting and e-invoicing tools, with a person confirming anything the extractor was unsure of.

Publish-to-Deploy Pipelines

Publish in the admin and the production site rebuilds with the content baked in. No live database to slow the page, no ticket to open.

Portal and Back-Office Automation

Authenticated sessions, scheduled captures, queues, retries and a console your team can watch, with selectors kept in configuration so the harness retargets without code.

FAQ

Which CRM does it write to?

The one you have, if it has an API: HubSpot, Zoho, or a sheet if that is where the requests live today. If you have none, we set one up as part of the scope.

Does it call the customer itself?

It can place a call through a voice agent, as ConvertOnly does, or assign the call to the engineer on duty and book the callback. Most contractors want a person on the first call and the automation around it.

What does one process mean?

One path from request to callback, with one entry channel and one CRM. A second channel or a second system is a separate scope, priced in writing before we start.

What is the proof?

ConvertOnly, our own product: an ad creates the enquiry, the CRM gets it with its source, a voice agent calls, the transcript and summary are stored and the callback is booked, every step a row. Built and demonstrated, not launched to paying customers, and we say so.

Send the domain. We diagnose before we quote.

Describe how one request reaches you today and who calls it. You get a written map of the process, what the automation takes over, and a fixed price.

No mailing list. One reply, from a person, in writing.
